Privacy Notice.

Southend on Sea Borough Council is a registered Data Controller and offers a wide range of services.  The Council will only process your personal information in accordance with the requirements of the Data Protection Act (DPA) 1998 and the General Data Protection Regulation (GDPR).  The Council has sector specific privacy notices in place where we will tell you why the Council collects personal information and processes that information, whether it is received by letter, email, face to face or online.

What information do we collect?

The amount and type of information the Council collects from you depends on why and how you are interacting with the Council and the service you are requesting.

For the purposes of personal travel plans this is name, email address and postcode.

We will not ask for anything which is not necessary for the service we are providing to you.

How we use your personal information and what for?

The information you provide us with is only used for the intended purpose. However, before we use it or intend to use it for another purpose we will ask for your consent.   During the course of the service you receive, you will be given the right to renew your consent or withdraw it.  You will also be given the chance to ‘opt out’ of any processing of your personal information that the Council undertakes or intends to undertake. You can ‘opt out’ at any time by phone, email, in writing or face to face contact. When you make contact to ‘opt out’, the Council will explain the implications of opting out.    

We will also share information internally to allow us to compile general statistics on how our services are performing. We may also need to share your information with a third party, such as a contractor, in order for them to provide the service you have requested. However, the Council requires all third party processors to abide by the law when they process information on the Council’s behalf and to follow our procedures or instructions.

You are entitled to copies of any information that the Council holds about you. This can be obtained by making a request in writing by using a Subject Access Request form. We ensure that any information we hold about you is accurate.  There may be situations where you find that information we hold is no longer accurate and you have the right to have this corrected, or, under certain circumstances deleted.

What do we do when we have no more need for the information?

The information obtained will be kept secure whilst it is being used.  It will then be retained in accordance with the requirements of our retention schedule and when there is no more need, it will be deleted securely.
